How long does it take to get a first project running?

Most teams have a real project set up within an hour. You create a workspace, add the milestones from your statement of work with their dates and acceptance criteria, break the first milestone into tasks, and invite the client as a collaborator. You do not need to model your entire portfolio before the tool is useful.

Can I import projects from another tool?

Accepted Answer

Yes. CSV import handles tasks, assignees, dates and estimates from most project tools, and the field mapping step lets you match your existing columns. For larger migrations the API can create projects, milestones and tasks in bulk. Enterprise plans include assisted migration where we do the mapping work with you.

Do I have to change how my team works?

Not fundamentally. Workflow stages are configurable, so if your team runs a five-stage process you keep it rather than adopting ours. The one structural convention Projexio does expect is that scope is expressed as milestones with acceptance criteria, because that is what makes approvals and billing work.

Is there a free trial?

Accepted Answer

Yes. Every plan includes a 14-day trial with no card required and no feature restrictions, so you can evaluate it on a live project rather than a sample one. If you need longer to complete a security or procurement review, ask and we will extend it.

Question 5

What happens to my data if I stop paying?

Accepted Answer

Your workspace becomes read-only rather than being deleted immediately. You can export everything — projects, tasks, time entries, approvals and files — as CSV and original files for 90 days after a subscription ends. After that the workspace is scheduled for deletion, and we notify the account owner before it happens.

Do clients need a paid seat?

No. Client collaborators are unlimited and free on every plan. You pay only for the team members who plan and deliver work. Charging for the people whose approval you are waiting on would be a strange way to price a product whose value depends on them showing up.

What can a client see?

Accepted Answer

Only what you share. Every task, comment and file is either internal or shared, and internal is the default for anything you have not explicitly shared. Clients see progress against milestones, shared deliverables, decisions and the items waiting on them. They do not see your budgets, margins, internal discussion or resourcing.

How does approval actually get recorded?

A milestone marked ready for review generates an approval request that shows the deliverables and the acceptance criteria agreed at the start. The client approves or requests changes, and the outcome is stored with the identity of the approver, a timestamp and any comments. It stays attached to the milestone and appears in the exportable audit log.

What if the client asks for something outside the agreed scope?

Raise it as a change request rather than absorbing it. A change request carries its own description, estimate and price, and needs its own approval before the work is scheduled. This is the mechanism that keeps small favours from quietly becoming a fortnight of unpaid work.

Can I brand the client-facing views?

On Pro and Enterprise plans you can apply your logo and accent colour to shared project views and status reports, so what the client sees reads as your practice rather than as somebody else's software.

What if my client refuses to use another tool?

Accepted Answer

The shared view is designed for exactly that person. It opens from a link, needs no training, and shows a short list of what is done, what is next and what needs them. If they still prefer email, approval requests and status summaries can be sent by email and the response is recorded the same way.

Which currency am I charged in?

Accepted Answer

All subscriptions are charged in US dollars. The pricing page can display HKD and SGD equivalents so you can size the cost in a familiar unit, but those are indicative conversions rather than the figure on your card statement.

How is tax handled in Hong Kong, Singapore and the US?

Accepted Answer

Prices exclude tax. Singapore customers are charged GST where required. Hong Kong does not levy an equivalent consumption tax on these services. US customers are charged state sales tax where applicable based on billing address. Customers elsewhere may be charged local VAT or GST, and business customers can supply a registration number where reverse charge applies.

Do you support annual invoicing and purchase orders?

Yes on Enterprise, and on Pro by request. We can invoice annually against a purchase order, supply a W-8 form for US payers, and complete vendor onboarding paperwork. Bank transfer is available for annual agreements.

What counts as a seat?

Accepted Answer

A seat is a team member who can create or edit work — planning, assigning, delivering or reporting. Client collaborators who review, comment and approve are free and unlimited. Deactivating a member frees their seat at the next billing period.

Can I change plans mid-cycle?

Accepted Answer

Upgrades take effect immediately and the difference is prorated against the remainder of your period. Downgrades and cancellations take effect at the end of the current period, so you keep what you paid for. Monthly plans have no minimum term.

Is there a discount for annual billing?

Accepted Answer

Yes. Paying annually reduces the effective per-seat price by roughly a sixth compared with monthly billing. The pricing page shows both figures so you can compare directly.

Where is my data stored?

Accepted Answer

Project data is stored with established cloud infrastructure providers in regions we publish on our security page, with encrypted backups held in a separate region for resilience. If you have a specific residency requirement, raise it with us before you commit and we will tell you plainly whether we can meet it.

Is my data encrypted?

Accepted Answer

Yes. Data is encrypted in transit using TLS 1.2 or higher and encrypted at rest, including backups. Access to production systems is restricted to a small number of personnel, requires multi-factor authentication, and is logged.

Do you use my project content to train AI models?

Accepted Answer

No. Your project content is not used to train machine learning models, ours or anyone else's, and it is not sold or shared with advertisers. Where a feature sends content to a third-party processor to function, that processor is named on our sub-processor list and is contractually barred from using your content for its own purposes.

Are you certified under a recognised security standard?

We do not currently hold a completed third-party certification, and we would rather say so than imply otherwise. Our controls are built around the practices those frameworks describe, we document them on our security page, and Enterprise customers receive a completed security questionnaire covering each control area with current status.

Can I sign a data processing agreement?

Accepted Answer

Yes. A data processing addendum is available to customers on every plan and covers processing purposes, sub-processors, international transfer mechanisms, security measures and breach notification. Our published sub-processor list names each third party and what it is used for.

How do I report a vulnerability?

Accepted Answer

Email support@projexio.org with enough detail to reproduce the issue. We acknowledge reports within two business days, keep you updated while we investigate, and will not pursue action against good-faith research that respects user privacy and avoids service disruption.

Does Projexio handle work across multiple time zones?

Accepted Answer

Yes, and it is a deliberate design concern rather than a setting. Deadlines are stored with a time zone and displayed in each viewer's local time, approval requests do not assume a synchronous review, and reports label the period boundaries they used. A milestone due Friday in Hong Kong does not silently become Thursday for a reviewer in California.

Can I work with multiple currencies?

On Pro and Enterprise, project budgets can be set in the currency you bill that client in, and portfolio reporting converts to a workspace reporting currency so the totals are comparable. This matters if you invoice a Hong Kong client in HKD and a US client in USD.

Is there an API?

Yes. A documented REST API covers projects, tasks, milestones, approvals and time entries, with scoped tokens and cursor pagination. Signed webhooks let you react to delivery events. Starter plans have read-only API access; Pro and Enterprise have read and write.

Is there a mobile app?

The web application is fully responsive and works on phones and tablets for the things people genuinely do while away from a desk — checking status, replying to comments, approving a milestone and logging time. Native applications are on the roadmap and not yet available, which we would rather state than imply.

How does Projexio differ from a general project management tool?

General tools assume everyone in the plan works for the same organisation. Projexio assumes a client sits at the end of the plan, so approval is a first-class step in the critical path, scope has written acceptance criteria, external collaborators are free, and internal versus shared visibility is enforced on every item rather than handled by keeping a second private board.

Current priorities are deeper resourcing forecasts, richer invoicing connectors, and native mobile applications. We publish material changes in the product and notify account owners before anything changes in a way that would affect existing workflows.

What are your support hours?

Support is staffed across Asia-Pacific and Americas business hours, which in practice means questions sent from Hong Kong, Singapore or the United States are answered the same working day. Requests from other regions are answered within one business day.

How quickly will I get a first response?

Starter targets one business day. Pro targets four business hours. Enterprise agreements carry contractual response targets by severity. Suspected security issues are treated as urgent regardless of plan.

Pro includes a group onboarding session covering workspace structure, templates and client access. Enterprise includes dedicated onboarding with configuration support and assisted migration.

How do I delete my account and data?

An account owner can delete a workspace from the settings area, which schedules irreversible deletion of project data and files. Export first if you need a copy. If you would prefer we handle it, email support@projexio.org from the account owner's address.
